We are looking to welcome an Intake Agent. The position may be based at either of our offices.
PROFILE
The Intake Agent is responsible for the client and file opening process within the management system, in compliance with the firm’s rules and policies. Through the nature of their work, the agent contributes to the advancement and achievement of the firm’s objectives.
KEY RESPONSIBILITIES
- Receive and process client and file opening requests
- Verify that the information is complete and compliant while meeting the timelines established by the firm and ensuring quality follow-up
- Conduct conflict of interest searches and follow-ups as well as credit analyses in accordance with the firm’s rules and policies
- Communicate with internal and external clients to complete and update the information required for client and file openings
- Proceed with the closure of clients and files
- Prepare fee agreements
- Implement agreements and ensure proper follow-up
- Support and actively participate in continuous improvement efforts
- Ensure professional, efficient, and courteous client service to all users of the process
SKILLS AND QUALITIES SOUGHT
- Hold a DEC or relevant experience deemed equivalent
- Have a minimum of two years of experience in database management
- Demonstrate excellent proficiency in French both spoken and written
- Demonstrate good proficiency in English both spoken and written due to regular anglophone clientele
- Have an in depth knowledge of the Microsoft Office suite
- Demonstrate autonomy and team spirit
- Provide outstanding customer service
- Demonstrate rigor attention to detail and professionalism
- Ability to manage priorities
- Knowledge of the Maitre software is considered an asset
